Free Licenses for Tableau Users

The Dashboard Server displays Aternity's intuitive dashboards using Tableau as its engine. Aternity supplies servers with the licenses for using Tableau so that the logged in Aternity users can view, edit, and save dashboards (depending on their roles and permissions).

When the number of users who access Aternity dashboards is greater than the number of licenses,

Free licenses of Tableau users ONLY from the Aternity Dashboard Server. You can do it locally or by accessing the Aternity Dashboard Server from a browser.

Procedure

  1. Step 1 Open a browser and enter the URL address of the Aternity Dashboard Server (from the server itself or from any server that can access that address.
  2. Step 2 Log in with Tableau administrator user credentials.
  3. Step 3 Select the site from the drop-down list. The site name

    You created and named the site while deploying the dashboard layouts. Learn more.

  4. Step 4 Go to the Users tab.
  5. Step 5 Select all users, except for the Server Administrator, and then select Actions > Remove.

    Never remove Server Administrator.

    If some users, in addition to the Server Administrator, still appear in the list and their role states Unlicensed, you tried to remove a user who owns content on the site. The user will still own the content but not be able to do anything with it. Aternity users who edited and saved advanced dashboards are considered as content owners. They will still appear in the Users list with the Unlicensed role.

    Unlicensed users can’t sign in to Tableau Server or Tableau Online.

    An alternative way is to sort according to Last signed in and to delete only those users who did not log in for a long time.

    When a user accesses the Aternity console next time, Tableau creates a user and assigns a license to that user. The system automatically assigns licenses as long as there are free licenses. Once the limit reached, the next user who will try to access Aternity dashboards, will be notified that there are no free licenses. To prevent this bad user experience, free licenses from time to time using the described procedure.

    Note

    It is recommended to remove users when nobody works with dashboards. Plan the maintenance time in advance.
