Understanding Retention Policies in Aternity

SteelCentral Aternity™ monitors the performance of applications and devices from the end user perspective, so you can measure and improve the productivity and user experience of your workforce. The amount of time the data is stored in Aternity database allowing customers to go back in history for investigation purposes is called a Retention Time.

Aternity cares about and safeguards your end user privacy by focusing on performance measurements. It stores PII (personally identifiable information) for short periods only, solely for the purposes of troubleshooting problems in user experience. Learn more about privacy.

To maintain reasonable data handling and database size, the Aternity platform maintains different "resolutions" of the data, and these resolutions are reduced the farther we go back in history. For today and near past, the data is kept with high resolution, and for the far past, the data is kept with low resolution. These "resolutions" are called Aggregation Types, and the amount of time each aggregation type is maintained is a Retention Time.

Aternity retains data in the following way:

  • Raw data retained in database for two weeks in most cases and includes personal information (PII). However, considering performance levels in different dashboards, it is displayed for a maximum of 7 days (1 week).

  • Hourly summaries (aggregations) retained for one month and include personal information (PII).

  • Daily summaries retained for 3 months and include personal information (PII).

  • Daily Anonymized summaries of the data retained for 12 months, but the data does NOT include any personal information (PII).

Aternity Retention Options

Understanding Aggregation and Timeframe Levels in Different Dashboards

Aternity automatically aggregates data as it ages. In what "resolution" Aternity displays data depends on the timeframe you select.
  • If you select timeframe going back up to 14 days, in some dashboards Aternity displays RAW data for 2 days, in others for 7 days, considering different performance levels; and the rest of dates in this range display hourly summaries.

  • If you select timeframe going back up to 30 days, Aternity displays hourly summaries.

  • If you select timeframe going back up to three months, Aternity displays daily summaries. Note that you cannot see the events from the last day, since it is not yet closed and aggregated.

  • If you select timeframe going back up to one year, Aternity displays daily anonymized summaries.

Dashboards that present data for a single user or device always show raw data, going back up to 7 days. These dashboards include:

  • Activity Resource Analysis

  • Troubleshoot Device

  • Device Events

The Monitor User Experience Dashboard

Most dashboards show summarized (aggregated) data according to the view you selected in the Timeframe menu. Aternity automatically summarizes data following various rules and logic model.

In the Advanced dashboards, on the other hand, you can manually select the level of granularity or detail displayed in the dashboard. You can view longer retention times when you choose more summarized data.

There are dashboards that always show the status for the moment you open that dashboard. Timeframe and Retention are NOT relevant in these cases. These dashboards include:

Best Practices

Access different level of data by using the most appropriate dashboard. For example, use Analyze dashboards to see long term trends, whereas Troubleshoot dashboards provide the raw data of the current state.

For example, if you received several calls about an application suddenly unable to display some colors correctly, it could be due to an incompatibility with the driver of the graphics card, so you could check if the problem is concentrated with particular device types by using the Troubleshoot Application dashboard.

Another example, using Analyze Device Health dashboard, you can analyze the health state of a device three months ago before installing new software or upgrading its hardware and today. You can analyze the amount of health events and to see the trend during the whole period.

Understanding Timeframe and Custom Timeframe

You can limit the display of the dashboard using the menus at the top of the window. You can change the start time of the data displayed in the dashboard in the Timeframe menu in the top right corner of the dashboard.

Select your own start and end time from the calendar drop-down menu, during the maximum allowed by Aternity period.

It is possible to contact Aternity Beta Team and to change the time zone to be the local time zone of your account.

In case the local time zone is not defined, then Aternity displays data in the time zone of the Aternity Management Server.

  • If you select any custom time period within the last 2 days, Aternity displays raw data.

  • If you select any custom time period between day 2 and 30 from today, Aternity displays hourly summarized data. (Except for dashboards that present data for a single user or device that show raw data going back up to 7 days).

  • If you select any custom time period starting day 31 from today and going back up to 90 days, Aternity displays daily summaries with PII.

  • If you select any custom time period starting day 91 from today and going back up to one year, Aternity displays daily summaries, but without PII.

Understanding Aggregation Type Implications

Working with advanced dashboards, you can select the level of granularity or detail displayed in the dashboard, called Aggregation Type. You can view longer retention times when you choose more summarized data:
  • Raw (1 week) displays the data as reported from devices without any summarizing (aggregation).

  • Hourly (1 month) displays data as a set of summarized hourly averages.

  • Daily (3 months) displays data as a set of summarized daily averages, which includes personal information (PII).

  • Daily Anonymized (12 months) displays daily summaries of the data going back 12 months, but the data does not include any personal information (PII).

Aggregation Type menu in the advanced dashboards

One hour is the interval between 00:00 minutes of the first hour and 00:00 minutes of the following hour in the specified timezone. One day is the interval between the start of the day and the start of the following day in the specified timezone.

Note

For Hourly summaries, you cannot see the events that happened during the current hour, since it is not yet aggregated. Wait for the start of the following hour when the previous hour will be summarized in the database. For Daily summaries, you cannot see the events that happened during the current day, since it is not yet aggregated. Wait for the start of the following day when the previous day will be summarized in the database.

For example, if it is September 1st and you select to display three months view when the system automatically displays it as daily aggregations, you will not see the events that happened on September 1st, because it is still your current day, not a closed full day and it cannot be included in aggregation. Wait until the start of the following day to see data from September 1st.
